Program Cancellation
The University of Toronto Department of Radiation Oncology (UTDRO) reserves the right to cancel or postpone any educational program due to an insufficient number of registrations. The decision to cancel will normally be made at least ten (10) business days prior to the program start date. Each registrant will be notified by email and provided with a full refund of all registration costs.
The Office may also cancel an educational program due to circumstances beyond its control, such as weather events or other emergencies. The UTDRO will make every effort to notify registrants promptly. The cancelled educational program will be rescheduled and registration payments transferred to the rescheduled educational program. Full refunds or credit vouchers may also be offered to registrants at the Program Director’s discretion.
The UTDRO is not liable for any loss, damages or other expenses that such cancellations may cause, including, but not limited to, non-refundable airline fares, hotel penalties or lost income.
Participant Cancellation or Withdrawal from Educational Programs
a. If fourteen (14) days or more prior to the program start date
If written notice of withdrawal is received from a registrant fourteen (14) days or more prior to the start date of the program, the registration fee, less an administrative fee of $800 will be refunded. This administrative fee covers the staff costs of processing refunds and other costs associated with cancellations. Credit vouchers may also be offered to registrants.
b. If less than fourteen (14) days prior to the event
If written notice of withdrawal is received from a registrant less than fourteen (14) days prior to the start date of the program, requests for refunds will be assessed on a case-by-case basis and are at the discretion of the Program Director. The impact of an individual registrant’s withdrawal on the financial viability of the program and the feasibility of replacing that registrant will be important factors in the UTDRO’s assessment. Depending on the reason for withdrawal, the participant may be offered a refund not to exceed 75% of the registration fee or a credit voucher.
c. On the start date of the program, or after the program has started and the participant did not engage
No refund will be provided.
Procedures for Requesting a Refund
The participant will inform the UTDRO in writing at mrirt@utoronto.ca as soon as possible about the cancellation. Refunds will be processed in the same manner in which payments were made. If paid by credit card, a credit will be transacted on the credit card used for payment. If paid by cheque, the UTDRO will reimburse by cheque. Refunds will be processed within sixty (60) days after the cancellation request has been confirmed.
