Presentation Guidelines and Requirements
Plenary Rooms Information
There is no Internet/WiFi in any of the break-out rooms. Internet/WiFi is only available in the main Colony Ballroom.
Please arrive to your plenary room 5-10 minutes before the start of the session. Each lecture room contains a laptop, an LCD projector, screen, digital timer, lectern with microphone, and slide advance remote with laser pointer. We ask that you please upload your presentation to the laptop in advance of your session (ideally during the break preceding your session). If you require assistance please come to the Ballroom for assistance. Be sure to have your presentation on a memory key and access to a back-up copy.
Each plenary room has at least one Moderator assigned to it. The Moderator will introduce you, and will help ensure an efficient and timely start to each presentation. They are instructed to begin and end each session on time. During your presentation, please keep an eye on the moderator in your room – they will provide a 2 minute warning to complete your presentation. This allows you to ask questions if you finish your material early or increase your pace if you fall behind.
Conference Program information is posted on the RTi3 website (ww.rti3.com) and available to the public. You are responsible for printing handouts or other materials you wish to distribute; RTi3 will not provide printing services.
For those doing oral presentation, please make sure that you have the final results of your experiments within your presentation. (This may not be relevant to students) Please bring the presentation on a memory key and load onto the stations at the breaks prior to your talks. For the plenary sessions (main ballroom) we are MAC/PC compatible.
Moderated Poster sessions will be conducted by an assigned moderator who will introduce each e-poster presenter, direct the process, manage the time appropriately, and ensure that eposters are projected appropriately on the monitor.
Please arrive to the Giovanni Room 5-10 minutes before the start of the session. There are 5 monitors to which ePosters can be loaded. One poster will be loaded to two monitors. If you do not see your poster displayed do not be alarmed. It will be loaded by the moderator as the session proceeds. Presenters are to stand next to their ePoster when they are presenting. ePoster presenters are allocated 7 minutes total to present the key message of the ePoster and to answer any audience questions. The intent of presenting a poster is to not simply read the content of the poster but to provide an engaging summary of the research. At the end of a presentation, the presenter for the ePoster on the next monitor is to step forward and stand next to their ePoster.
Poster presenters are asked to be present at their assigned Poster Viewing session (#1, #2, or #3 – see the schedule for details) to address any questions or queries regarding their eposter. There are 5 monitors to which ePosters can be loaded and there are anywhere from 5-7 eposters in each Poster Viewing session. One or two monitors will be showcasing more than 1 eposter.
Presentations should be done in PowerPoint. Please bring your PowerPoint presentation to the Conference on a USB flash drive.
